Privacy Policy

In-House Service LLC ("In-House Service," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use our platform, website, and services (collectively, the "Platform"). It also describes your rights with respect to your personal information and how to exercise them.

This Privacy Policy applies to all users of the Platform, including residential customers ("Customers") and independent service providers ("Service Providers"). By using the Platform, you agree to the collection and use of your information as described in this Privacy Policy.

This Privacy Policy should be read together with our Terms and Conditions, which govern your use of the Platform.

1. INFORMATION WE COLLECT

We collect personal information that you provide directly, that is generated through your use of the Platform, and that is collected automatically through technical means. The categories of information we collect depend on whether you are a Customer or a Service Provider. We collect only the personal information that is reasonably necessary and proportionate to the purposes described in this Privacy Policy.

1.1 Information Collected from Customers

Account Information

When you create an account, we collect:

  • Full name
  • Email address
  • Mobile phone number
  • Community or property name
  • Unit or apartment number
  • Account login credentials
  • Communication preferences

Booking Information

When you schedule a service, we collect:

  • Requested service type
  • Preferred appointment dates and times
  • Recurring service schedules
  • Service preferences and special instructions
  • Pet information
  • Additional notes relevant to the service

Unit Access Information

To facilitate scheduled services, we collect information about how you choose to provide access to your unit. You may select one of the following methods:

  • You will be present during the appointment;
  • You provide temporary access instructions, which may include a temporary door code, lockbox code, smart lock instructions, or other temporary entry instructions; or
  • You authorize your property management company to provide access using the property's existing access procedures.

Where property management-assisted entry is selected, In-House Service does not receive or store resident-provided access codes. Property management companies use their own building access procedures. Residents selecting property management-assisted entry are required to provide at least twenty-four (24) hours advance notice.

Unit access information is collected solely to facilitate scheduled services and is retained only as long as operationally necessary.

Payment Information

Payments are processed through one or more third-party payment processors, including Stripe. In-House Service does not store full credit card numbers, CVV codes, or complete payment credentials on its own systems. We may receive limited transaction details necessary to confirm payment status, process refunds, resolve disputes, and maintain financial records.

Service History

We collect and maintain records of your activity on the Platform, including:

  • Booking history and appointment records
  • Cancellation history
  • Service preferences and recurring service settings
  • Customer ratings and reviews
  • Customer communications
  • Referral program participation
  • Promotional opt-in preferences

Claims and Customer Support Information

If you submit a claim or contact customer support, we may collect photographs, videos, damage reports, customer service correspondence, insurance or claim documentation, and other supporting documentation relating to service quality or claims.

Automatically Collected Information

When you access the Platform, we may automatically collect certain technical information including IP address, browser type and version, device type and operating system, session identifiers and authentication timestamps, cookie preferences, website usage information, and error and security logs. This information is used for security, fraud prevention, platform performance monitoring, and service improvement.

Location Information

The Platform does not currently collect precise GPS location data from Customers. Service Providers are not continuously tracked through GPS. If location verification features are implemented in the future to verify Service Provider arrival at a service location, such data would be used solely for operational purposes and this Privacy Policy will be updated accordingly.

1.2 Information Collected from Service Providers

Identity and Contact Information

We collect identifying information necessary to verify your identity and facilitate your engagement with the Platform, which may include your full name, contact information, and mailing address. We may also collect government-issued identification where required for verification purposes.

We may collect date of birth where required for identity verification. Date of birth is sensitive data under the Texas Data Privacy and Security Act and is stored with appropriate encryption and access controls. Where we collect sensitive personal data as defined under applicable law, we obtain your consent before doing so.

Tax and Financial Information

We collect tax and financial information necessary to process Service Provider payments and satisfy tax reporting obligations, including W-9 information and tax identification numbers.

We collect banking information for direct deposit purposes. This information is handled with the same level of security as payment card data and is not stored in plain text.

Background Screening Information

Service Providers undergo background screening through a nationally recognized background screening provider. Background check results may include criminal history screening, identity verification, and eligibility verification.

Professional and Performance Information

We collect professional information to assess Service Provider qualifications and monitor service quality. This includes work history, availability, service area, certifications, and performance records such as completed jobs, customer ratings, and service quality metrics.

We may collect insurance documentation from Service Providers where applicable.

2. HOW WE USE YOUR INFORMATION

We use personal information solely to operate, maintain, improve, and protect the Platform and our services.

2.1 Platform Operations

We use personal information to create and manage Customer and Service Provider accounts, authenticate users and maintain account security, schedule and coordinate service appointments, manage recurring service plans, and facilitate communication between Customers, Service Providers, and property management companies regarding scheduled services.

2.2 Payment Processing

We use personal information to process payments and refunds, verify payment status and prevent fraud, maintain accounting and financial records, and process Service Provider compensation and tax reporting obligations.

2.3 Communications

We use personal information to send booking confirmations, appointment reminders, service updates, account notifications, security alerts, and customer support communications.

Customers who opt in may also receive promotional emails or SMS messages regarding offers, new services, referral opportunities, or company updates.

2.4 Referral Program Administration

We use personal information to track referrals, award referral credits and rewards, prevent referral fraud and abuse, and administer promotional campaigns.

2.5 Service Provider Management

We use Service Provider information to vet applicants and conduct background screenings, onboard Service Providers and process payments, monitor service quality and resolve disputes, and maintain regulatory compliance.

2.6 Property Management Coordination

Information necessary to facilitate scheduled services may be shared with participating property management companies when Customers authorize property management-assisted entry, as described below.

2.7 Platform Improvement and Security

We use automatically collected technical information to improve platform functionality and user experience, analyze usage trends and develop new features, measure platform performance and troubleshoot technical issues, and maintain platform security and prevent fraud.

3. HOW WE SHARE YOUR INFORMATION

We do not sell your personal information. We share personal information only in the following circumstances:

3.1 Service Providers and Vendors

We share personal information with third-party vendors and service providers that assist us in operating the Platform. These vendors are authorized to use your information only as necessary to provide services to us and are required to maintain appropriate confidentiality and data security obligations. Current categories of vendors include:

  • Payment processors — for processing payments and refunds
  • Cloud hosting providers — for application hosting and infrastructure
  • Authentication providers — for secure account login and user authentication
  • Secure cloud file and document storage providers — for storage of uploaded documents and files
  • Email delivery providers — for transactional emails including confirmations and notifications
  • SMS and messaging providers — for appointment reminders and customer communications
  • Customer relationship management and communication platforms — for customer support and workflow management
  • Analytics platforms — for understanding website usage and improving platform performance
  • Background screening providers — for Service Provider vetting and identity verification

Additional vendors may be engaged in the future to support platform operations, provided they maintain appropriate confidentiality and data security obligations consistent with this Privacy Policy.

3.2 Property Management Companies

When a Customer selects property management-assisted entry for a scheduled service, we may share limited service information with the relevant property management company. This may include the Customer's name, unit number, scheduled appointment, service status, and confirmation that property management-assisted entry was authorized. Property management companies do not receive Customer payment information, payment card information, Customer payment history, resident-provided access codes, or internal Customer communications.

Property management companies may also receive aggregate community reporting, including the number of participating residents, number of completed services, overall community participation metrics, and resident satisfaction metrics. This aggregate reporting does not include individually identifiable financial or payment information.

3.3 Legal and Compliance Disclosures

We may disclose personal information when required by law, court order, subpoena, or governmental authority, or when we believe in good faith that disclosure is necessary to protect our legal rights, protect the safety of any person, investigate fraud or a security incident, or comply with applicable law.

3.4 Business Transfers

If In-House Service LLC is involved in a merger, acquisition, reorganization, or sale of all or substantially all of its assets, your personal information may be transferred as part of that transaction. We will provide notice of any such transfer and any material changes to this Privacy Policy that may result.

3.5 With Your Consent

We may share your personal information with third parties for purposes not described in this Privacy Policy when we have your express consent to do so.

4. COOKIES AND TRACKING TECHNOLOGIES

Our website and Platform use cookies and similar tracking technologies to operate essential platform functions, maintain security, and understand how our services are used.

4.1 Types of Cookies We Use

  • Essential cookies — required for the Platform to function, including session management and authentication
  • Session cookies — temporary cookies that expire when you close your browser
  • Persistent cookies — cookies that remain on your device for a set period to remember your preferences
  • Authentication cookies — used to verify your identity and maintain your logged-in session
  • Security cookies — used to detect and prevent fraudulent activity

4.2 Analytics

We use Google Analytics and comparable analytics platforms to understand website traffic, user behavior, and platform performance. These tools may collect information about your device and how you interact with our Platform. You can opt out of Google Analytics data collection by installing the Google Analytics Opt-Out Browser Add-on available at https://tools.google.com/dlpage/gaoptout.

4.3 Managing Cookies

Most browsers allow you to control cookies through their settings. You may set your browser to refuse cookies or to alert you when cookies are being sent. Note that disabling certain cookies may affect the functionality of the Platform.

5. DATA RETENTION

We retain personal information only for as long as necessary to fulfill the purposes for which it was collected, including to operate and improve the Platform, satisfy our contractual obligations, resolve disputes, enforce our agreements, and comply with applicable legal, tax, accounting, and regulatory requirements.

The appropriate retention period for any category of personal information depends on the nature of the data, the purpose for which it was collected, and applicable legal obligations. When personal information is no longer needed for these purposes, we take reasonable steps to delete, anonymize, or de-identify it in a secure manner.

Retention periods may be extended when necessary to comply with a legal obligation, resolve an ongoing dispute, respond to a regulatory inquiry, or enforce our rights.

6. DATA SECURITY

Protecting personal information is a core priority of In-House Service. We employ commercially reasonable administrative, technical, and physical safeguards appropriate to the nature and volume of the personal information we process, designed to protect it against unauthorized access, disclosure, alteration, or destruction.

Our security practices include measures to protect data in transit and at rest, control access to personal information on a need-to-know basis, monitor our systems for security incidents, and respond to potential vulnerabilities. Data is hosted through a secure cloud provider within the United States.

While we take reasonable measures to protect your information, no security system can guarantee absolute protection against all threats. We continuously evaluate and improve our security practices in response to evolving risks. In the event of a data breach that affects your personal information, we will notify you as required by applicable law.

7. YOUR PRIVACY RIGHTS

Depending on your state of residence, you may have certain rights with respect to your personal information. We are committed to honoring these rights in accordance with applicable law.

7.1 Rights Available to All Users

Regardless of your state of residence, you have the right to request information about the categories of personal information we have collected about you and how it is used; request correction of inaccurate personal information; request deletion of your personal information, subject to certain legal exceptions; and opt out of receiving promotional communications from us at any time.

7.2 Texas Residents

If you are a Texas resident, you have the following rights under the Texas Data Privacy and Security Act (Tex. Bus. & Com. Code § 541 et seq.):

  • The right to confirm whether we are processing your personal data and to access that data
  • The right to correct inaccuracies in your personal data
  • The right to delete personal data you have provided or that we have collected about you
  • The right to obtain a portable copy of your personal data in a readily usable format
  • The right to opt out of the sale of your personal data, the use of your personal data for targeted advertising, or profiling in furtherance of decisions that produce legal or similarly significant effects
  • The right not to be discriminated against for exercising any of the foregoing rights

We do not sell personal data or use it for targeted advertising. Accordingly, the opt-out rights described above are provided for transparency and compliance purposes.

7.3 California Residents

If you are a California resident, you have the following rights under the California Consumer Privacy Act (Cal. Civ. Code § 1798.100 et seq.), as amended by the California Privacy Rights Act:

  • The right to know what personal information is collected, used, shared, or sold
  • The right to delete personal information held by us and our service providers, subject to certain exceptions
  • The right to opt out of the sale or sharing of your personal information
  • The right to non-discrimination for exercising your privacy rights
  • The right to correct inaccurate personal information
  • The right to limit the use and disclosure of sensitive personal information

We do not sell personal information as defined under California law. California residents may submit privacy rights requests using the contact information in Section 9 below.

7.4 How to Exercise Your Rights

We will verify your identity before processing any request. We will respond to your request within forty-five (45) days of receipt. If we require additional time, we will notify you of the extension and the reason within the initial 45-day period. Responses to consumer requests are provided free of charge up to twice per year per consumer. In certain circumstances, we may deny a request as permitted by applicable law, in which case we will explain the reason for the denial and provide information about how to appeal.

7.5 Appeals

If we deny your privacy rights request in whole or in part, you have the right to appeal our decision. To appeal, please submit a written request to privacy@in-houseservice.com within thirty (30) days of receiving our denial, including your name, the original request, and the basis for your appeal. We will respond to your appeal in writing within sixty (60) days of receipt. If we deny your appeal, we will provide you with information on how to submit a complaint to the Texas Attorney General at https://www.texasattorneygeneral.gov or to the California Privacy Protection Agency at https://cppa.ca.gov, as applicable.

8. CHILDREN'S PRIVACY

The Platform is not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. Our Terms and Conditions require all users to be at least 18 years of age. If we become aware that we have collected personal information from a child under 13 without verifiable parental consent, we will take steps to delete that information as promptly as possible. The Platform may contain links to third-party websites, applications, or services that are not operated by In-House Service. This Privacy Policy does not apply to third-party platforms, and we are not responsible for the privacy practices of any third party. We encourage you to review the privacy policies of any third-party services you access through the Platform.

11. CHANGES TO THIS PRIVACY POLICY

We reserve the right to update or modify this Privacy Policy at any time. If we make material changes, we will notify you by updating the effective date at the top of this Policy and, where appropriate, by sending notice to the email address associated with your account. Your continued use of the Platform following any such change constitutes your acceptance of the updated Privacy Policy.

We encourage you to review this Privacy Policy periodically to stay informed about how we are protecting your information.
